This notice sets out our approach to the personal information we gather when you use our website or get in touch with us.
What information do we collect about you?
To support each child's progress, Foundation Tuition holds certain personal records for our families. Depending on your circumstances, this can include:
- Contact and identifying details, such as a home address, email, date of birth and emergency contacts.
- Academic records, such as school reports and past exam results.
- Health information relevant to a child's care, including allergies, illnesses or medical conditions.
- Billing details connected with fees paid to us.
How do we collect this information?
Most of what we hold comes straight from our families: through online enquiry forms, emails, phone calls, or paper forms completed in person. In addition, our tutors gather classwork samples and progress notes as part of everyday sessions.
How will we process your personal information?
By "processing," we mean anything done with your information — collecting it, holding it, or using it in any way. We use your details, and your child's, to enrol them onto a course, look after their wellbeing during sessions, run our business day to day, and meet our legal responsibilities.
Where you've given us permission, we may also send occasional emails about other offerings we think would be useful to you.
Do we share personal information?
Access to your details is limited to those who genuinely need it. Your child's tutor, for example, will see their name, emergency contacts, and any relevant learning or health notes, so they can tailor lessons appropriately and act quickly should a medical situation arise.
Should there be a genuine need to pass information to another organisation, we'll ask for your agreement first.
We do not pass personal information to outside companies for their own marketing purposes.
Where do we keep your information?
Records are kept securely, whether digitally on our Google Drive and staff devices, or as paper files at our office. Only staff who have agreed to our Data Protection Policy can access them.
We keep this information safely until your child reaches 18, or sooner if you ask us to remove it.
Access to your information and withdrawing consent
You can ask us for a copy of the records we hold on you and your child at any time.
If anything we hold is out of date or incorrect, let us know and we'll put it right, or remove it if you'd prefer.
You can opt out of marketing emails from us whenever you choose.
You may also ask us to delete all personal information we hold about you.
